Semi-Formal Letters vs Informal Letters by Solomon Osuokam Ogbeh

Introduction

Writing letters is an essential skill that enhances communication. In this chapter, we will explore two different types of letters: semi-formal and informal. Understanding the distinctions between these types of letters is crucial for effective communication, particularly in various social, academic, and professional contexts.

Semi-Formal Letters

Semi-formal letters are used in situations where the relationship between the writer and the recipient is neither strictly professional nor purely personal. These letters are often sent to someone you know but not well enough to be informal, such as a teacher, a neighbour, or a distant relative. The tone is polite and respectful but not as rigid as formal letters.

Characteristics of Semi-Formal Letters:

  1. Salutation: Typically begins with "Dear" followed by the recipient's title and surname (e.g., "Dear Mr Adewale").
  2. Tone: Polite and respectful.
  3. Structure: Includes an introduction, body paragraphs, and a conclusion.
  4. Language: Uses standard English with no slang. Contractions are acceptable.
  5. Closing: Ends with a semi-formal closing such as "Yours sincerely" or "Best regards".

Example of a Semi-Formal Letter:

23, Bamidele Street,
Ikeja,

Lagos,
10th August 2024.

Dear Mr Adewale,

I hope this letter finds you well. I am writing to inform you about the upcoming neighbourhood meeting scheduled for 20th August 2024 at the community centre. The purpose of the meeting is to discuss the new security measures that will be implemented in our area.

As you are aware, there have been several incidents in our neighbourhood recently, and it is crucial that we come together to address these issues. Your presence at the meeting would be greatly appreciated as we value your input and suggestions.

Thank you for your time and consideration.

Yours sincerely,
Chinelo Okeke

Informal Letters

Informal letters are written to people with whom you have a close personal relationship, such as friends, siblings, or parents. These letters have a casual tone and are more relaxed in structure and language.

Characteristics of Informal Letters:

  1. Salutation: Often begins with "Dear" followed by the recipient's first name (e.g., "Dear Tunde").
  2. Tone: Casual and friendly.
  3. Structure: Less rigid, can include personal anecdotes and casual language.
  4. Language: Can use colloquialisms, slang, and contractions.
  5. Closing: Ends with an informal closing such as "Best wishes," "Love," or "Cheers."

Example of an Informal Letter:

23, Bamidele Street,
Ikeja,

Lagos,
10th August 2024.

Dear Tunde,

I hope you’re doing great! I wanted to share some exciting news with you – I’ve been accepted into the university programme we talked about. I’m so thrilled and can’t wait to start this new chapter.

Also, guess what? We’re planning a small get-together next weekend at my place to celebrate. It would be awesome if you could come. Let me know if you can make it so we can catch up properly.

Take care and see you soon!

Best wishes,
Chinelo
